Practice Management

Client Desk

A practice management platform that helps company secretaries manage clients, staff tasks, billing, vendors, meetings, and day-to-day operations from one place.

The Problem

Managing a company secretary's practice involves handling multiple clients, companies, filings, documents, deadlines, payments, and vendors at the same time. The practice was relying on chat, email, spreadsheets, and notebooks to manage its daily work. This made it difficult to get a clear view of what was happening across the practice. Tasks were assigned through chat and email, making it difficult to know who was responsible for a particular task, what was pending, and which client it belonged to. Billing was another challenge. Completed work was not always tracked alongside invoicing, which could lead to delayed invoices and missed payment follow-ups. Vendor management was largely manual as well. ROC filing vendors, stamp vendors, couriers, and consultants were tracked through notebooks and spreadsheets. It was difficult to see which vendor payments were completed, which were pending, and which client each expense belonged to. The practice needed a better way to manage its operations without adding more disconnected tools.

The Solution

We built Client Desk as a practice management platform tailored to the way a company secretary's practice works. Staff can be assigned work for specific clients, such as filings, preparing board documents, or client follow-ups. Each task has an owner and can be tracked through completion, reducing the need to manage work through chat messages and emails. Client and company information is organised in one place, along with documents, tasks, and upcoming work. Billing is connected to the work being managed. The team can create invoices, track outstanding payments, and send payment reminders without maintaining a separate billing workflow. Vendor management is also part of the same system. The team can record vendor work, payment amounts, payment status, and link expenses to the relevant client. An integrated calendar helps the team manage client and vendor meetings, important dates, deadlines, and follow-ups. The platform also includes team chat, allowing staff to discuss work and stay connected without moving conversations between different tools. Rather than forcing the practice to adopt a complicated new process, Client Desk brings the workflows they already use into one connected system — clients, tasks, billing, vendors, meetings, and communication.

The Results

Client Desk gives the practice a clear view of its day-to-day operations. Partners can quickly see who is working on what, which client it relates to, and what work is still pending. Because billing is connected to client work, invoices can be created and followed up more systematically. Outstanding payments are easier to track without relying on separate spreadsheets. Vendor jobs and payments are also managed within the same system instead of being tracked through notebooks or separate files. The result is a single operational system for managing clients, staff, tasks, billing, vendors, meetings, and communication. The practice can run its daily operations independently, without relying on us for regular management or follow-up.
