A real estate contract platform that centralizes party information, automates agreement generation, and streamlines electronic signatures.
The Problem
Real estate transactions involve multiple parties, including buyers, sellers, LLC members, and lenders. Coordinating their information and preparing accurate contracts can become a time-consuming, manual process. Coordinators often collect names, addresses, and entity details from email conversations, copy the information into contract templates, and follow up individually to resolve missing or incorrect details. Documents get buried in email threads, while signature requests require switching between systems and manually tracking progress. The process is especially cumbersome for clients who only need to submit information or sign a document once. Requiring them to create accounts adds unnecessary friction, while maintaining separate spreadsheets and document repositories makes it harder to track each deal. The goal was to create a single project portal where parties could submit information securely, contracts could be generated automatically, and signatures could be managed without jumping between disconnected tools.
The Solution
We built a contract management portal that organizes each transaction around a project, connecting information collection, document generation, and electronic signatures in one workflow. Party Information and Document Collection: Coordinators can invite buyers, sellers, LLC members, and lenders to submit their details and supporting documents through a centralized portal. One-time participants can access the process without creating an account, while repeat clients can reuse their saved information. Private contact lists and role-based permissions help coordinators manage access to deal information. Automated Contract Generation: The portal uses collected information to populate selected contract templates, whether details are entered by the coordinator or submitted by the parties. This eliminates repetitive data entry and helps reduce inconsistencies in names, addresses, and entity details. Coordinators can also add deal-specific clauses through an Additional Terms section before finalizing the agreement. Integrated Electronic Signatures: We integrated DocuSign into the portal so coordinators can send contracts for electronic signatures without manually downloading files or uploading them to another system. Signature requests can be initiated directly from the workflow, with automated reminders and progress tracking to help teams follow outstanding requests. Signed documents are stored in the portal for easy access. Title Handoff: The planned title integration is designed to streamline the transfer of executed contracts to title companies through standard email, without requiring recipients to create portal accounts. This extends the workflow beyond signing and helps reduce manual document handoffs. By connecting these steps, the portal turns a fragmented, email-driven process into a more structured and centralized contract workflow.
The Results
Contract preparation and signature collection follow a single, connected workflow instead of relying on manual copying, email attachments, and separate tracking tools. Coordinators can collect party information once and reuse it to generate agreements, reducing repetitive administrative work and the risk of inconsistent contract details. Integrated DocuSign functionality keeps signature requests and progress tracking within the portal, while signed documents remain accessible in one place. The result is a more organized contract workflow that makes transactions easier to coordinate, reduces unnecessary context switching, and provides better visibility into each deal's progress.
